About the customer
Acumen, part of the Sannam S4 Group, is a New Delhi-based international education services firm helping universities and institutions navigate global expansion.
Acumen operates through a dual-entity procurement model: a foreign-currency Source Entity manages client contracts and budgets, while an India-based Delivery Entity raises Purchase Orders (POs). These processes were previously managed through a legacy procurement platform, Procurement Express, alongside a separate expense management tool.
Acumen partnered with Zauber Technologies to rebuild this workflow on the Zoho ecosystem, creating a single, connected system for procurement, budgeting, and financial management.
The challenge
Acumen's procurement, budgeting, and expense processes operated across disconnected systems that could not natively support its cross-currency structure, limiting financial control and operational visibility.
Procurement and budgeting ran on a legacy platform without native integration with Zoho Books or Zoho Analytics.
The dual-entity model required manual Purchase Order matching and foreign exchange (FX) tracking between Source and Delivery budgets.
Budget ring-fencing, approval workflows, and expense reconciliation relied on a separate third-party expense tool.
Finance teams and leadership lacked real-time, dual-currency dashboards covering procurement, budgets, and expenses.
The solution
Zauber is rebuilding Acumen's procurement-to-expense workflow on the Zoho ecosystem, replicating and improving the legacy platform's cross-currency logic while connecting procurement, accounting, and reporting.
Purchase Order creation, live budget checks, and approval routing are being brought into a dedicated procurement portal to replace the legacy platform.
Source and Delivery Purchase Orders are designed to remain synchronised, with FX conversion and budget ring-fencing applied in real time.
Vendor master data, Purchase Order records, and financial information are being consolidated to create a unified foundation for procurement and accounting.
Real-time dashboards are designed to give finance, project, and management teams a consistent view of budget utilisation and spending across both currencies.
Automated synchronisation between procurement, expense reporting, and Zoho Books is designed to streamline reconciliation, with a planned migration path from the existing third-party expense tool to Zoho Expense.
The results
This engagement defines the planned Zoho migration. The outcomes below reflect the operational improvements the solution is designed to deliver as Acumen transitions from its legacy procurement platform.
Procurement, budgeting, and accounting data are designed to be unified within one connected Zoho environment rather than split across separate platforms.
Automated budget ring-fencing and staged alerts are designed to flag potential overspending before it occurs.
Automated Purchase Order-to-expense matching is designed to reduce manual reconciliation across procurement, expenses, and accounting.
Live dashboards are designed to provide finance teams and leadership with a consistent view of budgets and spending in both Source and Delivery currencies.
